Job Summary

We are seeking a friendly, professional, and organized individual to join our team as a Receptionist. As the first point of contact for visitors and clients, you will play a vital role in creating a welcoming atmosphere, ensuring smooth operations, and providing excellent customer service. The ideal candidate will possess strong communication skills, a positive attitude, and the ability to multitask effectively in a fast-paced environment.

Role and Responsibilities:

  • Greet and welcome visitors, clients, and guests in a professional and friendly manner.
  • Answer and direct incoming calls, take messages, and ensure timely communication.
  • Manage the reception area, ensuring it is neat, organized, and presentable at all times.
  • Assist with scheduling appointments and maintaining calendars for staff.
  • Handle incoming and outgoing mail and packages.
  • Coordinate office supplies, ensuring inventory is stocked and placed as needed.
  • Perform administrative tasks such as filing, data entry, and maintaining office records.
  • Respond to inquiries and provide information about the company, services, or products.
  • Ensure the safety and security of visitors by monitoring access and issuing visitor badges when necessary.
  • Support various departments with clerical or administrative duties as needed.

 

Required Skills

Education:

  • High school diploma or equivalent is required.
  • Additional certifications in office administration or customer service are a plus.

Experience:

  • Previous experience in a receptionist, administrative, or customer service role is preferred, but not required.
  • Experience with office equipment (phone systems, printers, copiers) and basic administrative tasks (data entry, filing) is an advantage.

Skills:

  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities, with the ability to prioritize tasks effectively.
  • Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook) and/or Google Suite.
  • Ability to operate office equipment (phones, fax machines, photocopiers).
  • Professional, friendly, and approachable demeanor with the ability to engage with visitors and clients.
  • Attention to detail and high level of accuracy in all tasks.
