Job Summary

The Administrative Officer (AO) is a management position within the ITREB Angola and will be responsible for supporting the local ITREB members in developing and implementing activities and programs to achieve its strategic goals. The AO oversees the interface between volunteers and institutional staff.

This Administrative Officer will report to the Chairman of Ismaili Tariqah and Religious Education Board for Angola. The position will be based in Luanda, Angola.

Role and Responsibilities:

Planning, Monitoring and Communication

  • Coordinate all strategic planning, implementation and evaluation of programmatic activities;
  • Support members in defining and planning their objectives and performance metrics in line with the strategic objectives;
  • Provide the board with performance and other reports;
  • Manage and assist in all ITREB communication to and  with National Council and Staff;
  • Participate in all ITREB meetings and record meeting minutes.

Accounting and Budget Management

  • Process financial transactions to include, maintain, input, and track financial data;
  • Proceed with payments of all areas, after verifying expenditures against budget;
  • Be the point of liaison with the GRB on financial, statutory and audit matters.

Financial Reporting

  • Oversee financial and management systems to ensure accuracy, timeliness and quality of information;
  • Prepare regular reports for the Board, as well as for onward transmission.

Talim Program

  • Oversee the operations of the Talim system, implementation and adherence to school policies, all communication requirements and providing support to all volunteers;
  • Ensure timely recording and reporting of access;
  • Develop, with input from the board on strategies for non-access;
  • Manage and monitor all teachers, including their needs in terms of Talim material, logistics and substitute teachers;
  • Provide reports to the Chair and Board with respect to Talim, STEP, ECD and also  needs on all the relevant issues with continuous suggestions and solutions of improvement;
  • Ability to motivate and be the link and help explain the DAT team regarding sensitive issues of the Board;
  • Organize events such as Open Day, Teachers’ Training Programme (TTP), between other events;
  • Organize meetings with parents with feedback regarding special issues regarding their kids;
  • Evaluate and give feedback on DAT teacher’s performance and kids performance as well;
  • Help develop parental involvement initiatives and programs;
  • Manage all communications with Parents


Other Programmatic and Support Activities

  • Assist in implementation and execution of episodic programs;
  • When    required,    provide    support    to    the    matters.

Required Skills

Qualifications, Experience and Attributes:

  • Demonstrated administrative and management experience and skills.
  • Minimum Bachelor’s degree in a relevant discipline. Master’s degree will be preferred.
  • Experience with the system, either as a volunteer or professional, is highly desirable. Awareness of the provisions of the Constitution of Shia Imami Ismaili Muslims and prior exposure to the religious education system (primary curriculum) would be an asset.
  • The candidate should be a professional with knowledge or command of Portuguese language, which is important.

  • Strong IT skills including Microsoft Office and online meeting technology
